Knowledge Management SYSTEM (KMS) is a business optimization strategy that identifies, selects, organizes, distills and packages information essential to the business of the company in a way that improves performance of employees and corporate competitiveness. The preservation and packaging of corporate knowledge (information) is relevant today. To compete successfully in today’s economy, organizations have to treat the knowledge that contributes to their core competencies as any other strategic, irreplaceable asset.

Knowledge Management involves following eight processes:

Creation / Acquisition: Technical files in various forms including Video clips which are created by Corporate TQM and those acquired from group companies, internal conferences and external sources

Modification: The files are modified to suit the Knowledge Management System keeping in mind the needs of users of the KM system

Use: The information reposited in KM system is useful for group companies

Archiving: The information is stored in a form and format that will survive the elements and time from the perspective of physical and technical changes

Transfer: The information is transferred from one place to another. The electronic file may be distributed via internet to group companies across the globe

Translation / Repurposing: The information is translated into a form more useful for a group of users or for a new purpose

Access: Limited access to files is provided to authorize personnel in group companies. The authorized personnel are provided with an access code and password

Disposal: Information with no future value is discarded to save space

Data, Information & Knowledge:

Data: These are numbers derived from observation, experiment or calculations.

Information: It is data in context. Information is a collection of data and associated explanations, interpretations, and other textual material concerning a particular object, event or process.

Metadata: It is data about information. It includes descriptive summaries and high level categorization of data and information. That is, metadata is information about the context in which the information is used.

Knowledge: It is information that is organized, synthesized, or summarized to enhance comprehension, awareness or understanding. It is a combination of data about information and an awareness of the context so that they can be applied successfully.

Instrumental Understanding: It is the clear and complete idea of the nature, significance or explanation of something. It is a personal, internal power to render experience intelligible by relating specific knowledge to broad concepts.
